Slobiq Business Toolkit Pilot toolkit

Practical tools for running a small team

Measure work, plan staffing, understand costs and build better team routines. Try a worked example, then take an editable template into your next shift or team meeting.

Calculations happen in this tab. The toolkit does not save your entries automatically. Use sample data during the pilot.

Calculate and compare

Choose a tool, load an example and replace the inputs with your own assumptions. Use the same currency for all amounts in a calculation.

Productivity and labor costFind out how much the team completes per hour and what labor costs per completed unit.

Results

Enter values or load an example to calculate a result.

How it works
Divide completed units by total worked hours. Multiply hours by the hourly rate to estimate total labor cost, then divide by completed units. Cost per unit is unavailable when output is zero.
What to do next
Compare periods with the same work mix. If you count only orders, avoid comparing that result with a rate measured in order lines.
Shift staffing plannerEstimate how many people a planned workload needs and compare that with who is available.

Results

Enter values or load an example to calculate a result.

How it works
Divide planned units by the rate per person-hour multiplied by productive hours per person. Round the result up to a whole person.
What to do next
Use a recent rate for comparable work. Review role coverage and required qualifications separately before setting the roster.
Shift results versus planSeparate a volume shortfall from a change in the rate of work.

Results

Enter values or load an example to calculate a result.

How it works
Subtract planned units from actual units. Divide actual units by planned units for the percentage and divide each volume by its own hours for the hourly rates. The percentage is unavailable for a zero plan.
What to do next
If the hourly rate held but volume fell, look at the hours used before investigating a productivity drop.
Available shift capacitySee how breaks, downtime and staffing affect what a shift can realistically complete.

Results

Enter values or load an example to calculate a result.

How it works
Subtract unavailable time from each person's shift and multiply by the number of people. Multiply the resulting hours by the rate and round down to whole units. Unavailable time cannot exceed shift hours.
What to do next
If the rate already includes a particular break or delay, avoid deducting that time again. Check the main bottleneck before adding staff.
Contribution marginEstimate how much a sale contributes after its variable costs.

Results

Enter values or load an example to calculate a result.

How it works
Subtract the variable cost from the selling price. Divide the difference by price for the margin percentage, or multiply by units sold for total contribution. A price of zero gives no percentage.
What to do next
Include variable costs such as packaging or transaction fees when they apply. Subtract period fixed costs separately to estimate an operating result.
Break-even volumeEstimate how many whole units you need to sell to cover fixed costs.

Results

Enter values or load an example to calculate a result.

How it works
Divide fixed costs by the contribution per unit and round up. Multiply that volume by the unit price. If the price is at or below variable cost, a finite break-even volume is unavailable.
What to do next
Use fixed costs and sales from the same period. Compare the required volume with your capacity and expected demand.

Guides and ready-to-use templates

Follow a practical workflow and download an editable template with a sample row. Open CSV files as UTF-8 with a comma delimiter in your spreadsheet app.

Weekly KPI review

Turn a short team meeting into a regular review of output, hours and follow-up actions.

  1. Choose one metric and record its definition, unit and reporting period before setting a target.
  2. Compare the latest result with the target and a similar previous period. Check volume, hours and work mix if they moved.
  3. Agree on one follow-up, give a role responsibility for it and review the outcome at the next meeting.

Shift handover

Give the next shift a short record of outstanding work and decisions.

  1. List the open work, blocked equipment or unresolved exceptions before the shift ends.
  2. Mark what needs immediate attention and identify the role taking it over.
  3. Ask the incoming shift to confirm the first action and the next time to check progress.
Download CSV template

SOP starter

Draft a repeatable procedure and make the checks visible alongside each step.

  1. Observe a complete run of the process and write the steps as concrete actions.
  2. Add a check for each critical step and say when to pause or ask for help.
  3. Test the draft with a colleague unfamiliar with it, then record the owner and review date.

Skills and training plan

Choose training based on the skills the team needs to cover upcoming work.

  1. List the skills needed for each role and agree on what independent work looks like.
  2. Record current and target levels based on a task the person can demonstrate.
  3. Choose a practical exercise, name the supervising role and set a date to review progress.

Stock discrepancy review

Record and investigate differences between expected and counted stock.

  1. Check the item, location and unit of measure before counting.
  2. Record the expected and counted quantities, then request a recount if the difference remains unexplained.
  3. Check recent movements and document the reason or escalation before adjusting stock.

Action register

Keep improvement actions visible after the meeting that created them.

  1. Record what happened and what can be observed or measured.
  2. Turn the issue into one specific action with a responsible role and a due date.
  3. Close the action when the result can be checked and bring overdue actions to the next review.

Download Excel workbooks

Download a single workbook or get all five with the guide in English. The workbooks contain sample data.

Productivity Calculator

Estimate team hours, hourly productivity, labor cost per order and the gap to target.

Replace the sample workload, staffing, hours and hourly rates. Check that the hourly rate reflects the same work covered by the volume figure.

Download XLSX

Shift Staffing Planner

Estimate staffing by work area and compare the total with the people available.

Enter volume, expected productivity, productive hours and available staff for each area. Check the shortage by area before moving people between roles.

Download XLSX

Shift Performance Tracker

Record shift volume, hours and labor cost, then review aggregate productivity and cost per order.

Enter comparable shifts and read the summary for the same date range. Review volume and hours together before acting on a change.

Download XLSX

SOP Template

Document a process, assign a responsible role, track rollout tasks and keep a revision history.

Fill in one process, test the steps with the people doing the work and record the first approved revision with its review date.

Skills & Cross-Training Dashboard

Compare team skill coverage with targets and track cross-training actions.

Set a target for each skill and use a consistent definition of independent work. Review any gaps before deciding who needs training and who can deliver it.

Frequently asked questions

How do I open the files?

Use a spreadsheet app to import CSV files as UTF-8 with a comma delimiter. Open the XLSX workbooks in Excel or a compatible app and check how it handles formulas and formatting.

Where do my inputs go?

The calculator processes your inputs in this tab and does not save them automatically. Any file you download stays on your device until you remove it.

Can I use the results to plan a real shift?

Check the input assumptions, units and time period first. Compare the estimate with a similar shift, then review role coverage, constraints and any planned downtime.

How does the pilot work?

You can use the calculators and download the materials directly. The pilot has no checkout. Send feedback through the contact link in the footer.

Which Slobiq toolkit should I use?

Business Toolkit covers day-to-day operations for small teams. Warehouse Toolkit focuses on warehouse planning. The WMS demo shows inventory workflows such as receiving and stock movements.
